Terms and Conditions National Alamo Namibia

A) GENERAL

1. VAT or TAX is subject to change in accordance with Government Legislation in which case rates will be adjusted accordingly.
2. Vehicles are rented subject to National's standard terms and conditions.
3. Please refer to your rate schedule for inclusions and exclusions and the waiver responsibility.
4. The relevant Rate Code used to calculate the rate & Account Number should be advised at time of reservation and must be clearly shown on the vouchers.
5. The renter is required to present a voucher at time of rental (this will be emailed to the renter just after online reservation). Failure to do so, will result in the renter being billed directly at the daily extension rate.
6. Daily rates are calculated strictly in cycles of 24 hours, from time of pick up to time of drop off. The renter will be billed directly for additional rentals days at extension rates, should the vehicle be returned late.
7. Should a vehicle be returned with excessive dirt, the valet charges will be billed directly to the renters credit card.
8. The renter is liable for water and under-carriage damage to vehicle
9. Tires and Windscreens are not covered and will be charged against the renter if damaged, unless exceptional circumstances apply.

B) FACTORS THAT NEGATE COVER- GROSS NEGLIGENCE

Speeding is the major cause of accidents on rural/gravel/dirt roads in Namibia and South Africa. Your relevant waiver will not cover any damage if any of the Gross Negligence Factors below were not adhered to - in other words, the renter will become liable for the full value of the vehicle should any of the Gross Negligence factors apply to their accident.

NB! Each vehicle is equipped with an electronic device - Black Box - which will measure the drivers manner of driving and will be downloaded after termination of rental


1. Gross negligence
2. Speeding - In excess of 80km/hr on gravel/rural roads and 120km/hr on open tar/paved roads 3. Driving under the influence of alcohol or illegal substances
4. Unauthorised persons driving the vehicle
5. Unauthorised cross border rentals
6. Unauthorised repairs to the vehicle
7. Not adhering to traffic, road and driving regulations
8. Unsuitable driving or road conditions
9. No other vehicles involved in the collision/accident unless exceptional circumstances apply
10. Not reporting the collision to National and the nearest Police Station
11. Failure to obtain authorisation from National to extend the pre- booked rental period
12. Failure in reporting the loss to National within 6 hours in the event of theft.
13. Failure to produce the vehicle keys in case of theft unless exceptional circumstances apply.
14. Not reporting the exact details of the last known location of the vehicle prior to theft.

C) DRIVING REQUIREMENTS

1. Government Legislation requires that whilst driving, the driver/s are required to have a valid unendorsed drivers license in their possession.
2. Driver/s must have obtained their license at least two years prior to renting a vehicle with National.
3. An International Drivers license is not required, provided the original license is in English.

D) BREAKDOWNS

What to do in the event of a breakdown:

1. Contact National on the emergency phone number 081 3102742 (Namibia Only)
please use the international dialing prefix if phoning from a roaming mobile phone.
2. The Renter will be assisted with the following:

2.1 Minor Mechanical Assistance
When it’s safe, minor repairs may be attempted at the scene to place the vehicle in a driveable condition. These repairs cannot be guaranteed, and the driver will be requested to immediately proceed to a repair facility.

2.2 Flat Tyre Assistance
If the vehicle’s spare tyre is inflated and serviceable, it will be installed to replace a flat tyre. The renter will be responsible to replace such flat tire where possible.

2.3 Vehicle Lockout Service
In the event of keys been locked in the vehicle a locksmith will be appointed to unlock the vehicle and the necessary charges directed to the renter.

2.4 Towing Service
Sometimes a breakdown will occur at inconvenient locations. If the vehicle breaks down and requires towing National/Alamo will appoint a towing operator to tow the vehicle to the nearest repairer. In the event of the tow taking place after hours the vehicle will be stored in safe storage. In the event of a tow taking place due to undercarraige damage or due to any form of driver negligence, the applicable charges will be directed to the renter.

3. Renters are requested not to replace or repair any vehicle parts unless authorised by National. Renters who fail to get prior authorisation from National will not be reimbursed for expenses incurred and can negate all cover (See section B 6)

E) ACCIDENTS/THEFT

What to do in the event of an accident or theft:

1. Renter is required to Contact National immediately
2. A full report must be made to the nearest Police Station within 24 hours where an accident has occurred and 6 hours in the case of theft.
3. A Case Reference number must be obtained from the nearest Police Station
4. An Accident & Theft report must be completed , these are obtainable from any National branch.
5. Personal belongings stolen or lost during an accident are not covered. It would be advisable for Renters to obtain personal belonging insurance prior to their trip.

F) TRAFFIC FINES

1. Should the renter disobey the traffic regulation which results in a fine, such amounts will be debited to the clients credit card including a handling fee

G) COLLISION DAMAGE/THEFT WAIVERS

1. The renter is responsible for the excess amount (subject to product sold) i.e. STD 150 = various excesses subject to vehicle group
Please note that a renter is responsible for the full value of the relevant vehicle, should theft/accident be caused due to negligence (see ""B"" for detailed list of factors that negate the insurance cover)
2. Top up Cover is available but cannot be pre-paid. Prices are available at the counter at time of rental. This will be billed to the renter directly.
3. A claim handling fee will be applied and charged to the renters credit card, in the event of damage/theft of the vehicle

H) CROSS BORDER EXCESS

1. The applicable excess amount will double, should the accident/theft occur outside the borders of Namibia (i.e. SA, Zambia or Botswana)
NB! Exception to the rule: Executive Cover - eg. SA Executive Cover taken, the relevant vehicle's Standard Cover Excess applies

I) PERSONAL ACCIDENT BENEFIT

1. Should Personal Accident Benefit be purchased or included in the rate - All the occupants in the vehicle are collectively covered for death and disability up to a maximum of NAD20 000.00 and medical expenses up to NAD2 500.00 per incident.

J) THIRD PARTY CLAIMS

1. Should the renter be involved in an accident where the cause was not that of the renters, the renter is still responsible for the non-waiverable excess until such time as Third party Recovery has been paid to National, National will then re-imburse the renter. The amount re-imbursed will be subject to the Third Party Recovery amount

K) CROSS BORDER TRAVELING

1. A letter of authorisation must be requested at the time of reservation for all cross border traveling. No vehicles will be allowed into Zimbabwe due to road authority regulations. Should the renter enter into Zimbabwe, they shall do so at own risk. and can be held responsible for all costs related to damage or theft of vehicle.
2. National Alamo will not be held responsible if a renter is refused entry into another country.
3. Namibian registered vehicles entering into Botswana or Zambia will be required to pay a roads authority fee. This will be for the renters own account.
4. Vehicles are permitted into Botswana, Zambia and South Africa
5. Vehicles are NOT permitted into Angola and Zimbabwe.

L) ONE WAY RENTALS

1. Vehicles travelling on a one way rental out of Namibia will be billed a N$ 3 300.00 non-refundable one way fee.
2. One way rentals to Botswana, Zambia and South Africa are permitted.

M) DELIVERY & COLLECTION

N) EQUIPMENT

1. Available on request at time of reservation and will be charged directly to the renter at time of rental

O) YOUNG DRIVER/ADDITIONAL DRIVER

1. Applies to renters under the age of 23, provided that they have been in possession of a valid, unendorsed driver's license for a minimum of two years.

P) CONTRACT FEE

1. A contract fee per rental will be charged directly to the renter at time of rental

Q) NO SHOW CHARGE

1. A no show fee will apply if a reservation is not cancelled before rental is supposed to take place

R) DEPOSITS- EXCESS AND FUEL

1. A deposit for the applicable excess/liability and fuel is required on initiation of the rental. The renter must be in possession of a credit card irrespective of product selection.

S) FUEL

1. Credit Cards are not accepted at petrol stations in Southern Africa. Fuel can only be purchased with cash
2. If a tank of fuel was pre-paid (included in the product selection), the renter will not be refunded for any remaining fuel upon return of the vehicle
3. If a tank of fuel was not pre-paid (exclusive product selection), the renter either has to fill the tank before returning the vehicle or alternatively the renter can return the vehicle to National Alamo and pay for refueling upon return.
4. Each vehicle is refueled on termination regardless of the fuel gauge indicator.

T) EXTENSION OF RENTAL

1. If the renter wishes to extend the rental beyond the original return date, authorisation must be obtained from National Alamo. Failure to do so will result in National reporting the car stolen and it immediately negates all cover
2. Additional days will be charged directly to the renters credit card at the extension rates (refer to rate sheets)

U) RENTAL REQUIREMENTS AND PAYMENT

1. A valid voucher and credit card ( for additional charges) must be produced at time of rental.
2. Accepted credit cards are Visa, Master, Diners and American Express.
3. Name, address and telephone number
4. Local contact details
5. Drivers License and passport

V) GRAVEL / RURAL / DIRT ROADS

1. The renter will be covered by the relevant waiver option, provided they have adhered to all traffic laws i.e. the speed limit and were not the only vehicle involved in the accident (another vehicle or animal to be involved). Each incident is evaluated individually, on its own merit.
2. Speeding is the major cause of accidents on rural/gravel/dirt roads in Namibia and South Africa. Your relevant waiver will not cover any damage if any of the Gross Negilegence Factors (see "B") were not adhered to - in other words, the renter will become liable for the full value of the vehicle should any of the Gross Negiligence (see "B" above) factors apply to their accident.

Booking a Car through Cape Spirit

The relationship between the renter and Cape Spirit Travel is for reserving the car at the requested destination and rental supplier. Cape Spirit's responsibility is limited to issuing the reservation voucher properly, in order to make a connection between the renter and the rental supplier at the competitive quoted rate. Should the renter not receive the booking voucher within 5 minutes after making the reservation, the renter has to contact Cape Spirit immediately. Cape Spirit will assist the renter with any booking enquiries during and after the reservation.

Upon collection of the car, the renter will sign a new contract with the rental supplier. Cape Spirit Travel will do its utmost to assist and provide a solution in case of any problem the renter encounters with the rental supplier.

Any claim against the rental supplier should be forwarded to the rental supplier directly. The jurisdiction location for claims against the rental supplier will be the country where the rental took place.

The rental supplier has the right to deny a car from anyone who does not comply with the above terms and conditions.
The renter should request a copy of the final rental agreement when returning the car, and keep it for future queries.
Accepting the voucher and applying it states your agreement to the above terms and conditions.
